Application - Google Docs Common Folder for Class Use

How to set up a Google Docs Collection for your Class

 1. Log into your Bethel email account, click on the Apps icon , select Drive  or go directly to https://docs.bethel.edu

2. Once in Google Docs, click the New button.

3. Select Folder

4.  Enter a name for your Folder - e.g. your course number, and click Create.

After clicking Create, your new collection should show up in your "My Drive"  list.

5. Right click on your new folder and select "Share"

 

6.  In the Sharing settings dialog box, you can give access to your class in several ways.

Method One: Just type in student names and select each as their email pops up.

Method Two: Create an email list from your Moodle course site.

a. Enter your Moodle course.

b. Click on grades and from "Choose an action"  or the Export tab select export Excel Spreadsheet.

c. Scroll to the bottom of the page and Click on Select none.

d. Click the Submit button. Then click the Download button.

e. Open up the downloaded spreadsheet and copy the email address list from the email column

e. Paste your email list into the Add people box and click Share & save button

  Once you share your collection, then you can paste the URL that will be emailed to you and your class into Moodle using a Link to File or Website or via the add web link tool.

Method Three: You can also set the permissions of your folder by clicking on the "Advanced" link and then click Change to the right of "private".

  

In the Link Sharing Advanced settings you can select from among the following options. An easy option is "Anyone at Bethel University with the Link.  If you use this and only share the link in your Moodle course site, then this makes the folder more private than any of the other "public" options, but less private than entering emails of all members of your class.

 

 

7. Finally in the Sharing settings for you Google Docs collection you might want to consider changing the default permissions from "Editors are allowed to add people and change the permissions" to "Only the owner can change the permissions".
