How to Send Faculty Notification Letter of Accommodations in AIM

  • Use your Bethel University ID and Password to log into AIM.  
  • Go to the “My Dashboard” tab. You can navigate to this tab by selecting “My Dashboard” at the top or on the left under the “Home” menu.  “My Dashboard” will be indicated at the top of the page, under the Bethel logo. 
  • Scroll down and go to, "Select Accommodations for Your Class" to find the classes you are currently registered for. If you do not see a course you are registered for, read the information in the “Important Note” section (yellow-shaded box above your classes). Please contact our office at oars@bethel.edu if you need assistance.

To Request your accommodations/send your Faculty Notification Letters, complete the three steps below:

  1. Under Step 1: Select Class(es), select the classes you wish to use accommodations in by checking the corresponding box for each course (see picture below). Accommodations are not required to be used for all classes. You may decide there are classes you do not want to use accommodations in or use only certain ones, depending on the class. 


     2. Select Step 2: Continue to Customize Your Accommodations to begin choosing accommodations for each class. 

Approved accommodations were determined at your initial meeting upon registering with the Office of Accessibility Resources and Services (OARS). If you have multiple approved accommodations, they will all display under each individual course you have selected (see picture below).

Check the corresponding accommodation(s) you wish to use.  You can modify your accommodation request at any time during the semester; however, accommodations are not retroactive.


Your accommodations will appear individually for each selected course.  

Please note:  If you are eligible for one or more testing accommodations (Time and a half, use of the Testing Center, etc.) it will be displayed as “Testing Accommodations”, however your specific testing accommodation(s) will be listed within your Faculty Notification Letter that is sent to your professor.


     3. When you have finished selecting the accommodations for each class, click the Submit Your Accommodation Requests button at the bottom of the page (see picture below). Your Faculty Notification Letter(s) is now sent to your Professors. 


 

If you add a course during drop/add, you must log in to AIM and request your Faculty Notification Letter for the new course.

Certain accommodations ‘require explicit approval’ in which case the Faculty Notification Letter is submitted by you as described above, then your Accessibility Specialist will review and send it.  

We recommend that you follow up with each of your professors to ensure they have received your Faculty Notification Letter following the first class session. 

Upon completion of this process, your accommodations for the current semester will now be displayed on the “My Dashboard” tab. 

NOTE:  In order for academic accommodations to apply during finals week, students must have sent the Faculty Notification Letter(s) at least 5 business days prior to the final day of class. Students are required to send their letters each semester in order to use accommodations.

Questions and Answers: 

Q: Can I view my accommodations prior to requesting them for my classes?

A: Yes! To check the accommodations you are eligible for, click on “My Eligibility” under My Accommodations on the left.  


Q: I do not see my specific testing or note taking accommodation listed in the faculty notification letter. What should I do?

A: “Testing Accommodation” indicates the category of accommodation. Your specific testing accommodation(s) will be listed within your Faculty Notification Letter.  Similarly, “Note Taking Support” indicates a category and your specific accommodation will be listed in your Faculty Notification Letter.


Q: I think I am approved for an accommodation that is not listed under “My Eligibility.” What should I do?

A: If you believe there is an error with the approved accommodation(s) displayed in “My Eligibility,” please contact your assigned Accessibility Specialist directly to let them know your concern.


Q: My accommodations do no appear when I follow the steps to request them for my classes. What should I do?

A: Contact our office for help! You can email us at oars@bethel.edu.


Q: What information is included in the Faculty Notification Letter?

A: The Faculty Notification Letter includes the specific accommodations you are eligible to receive, instructions on how they may be implemented and links with more detailed information on use of the accommodation. Letters also include a confidentiality notice. The Faculty Notification Letter does not include any specific information about a diagnosis or the nature of your disability.


Q: How do I get a copy of my Faculty Notification Letter?

A: You can easily obtain a copy of your letter by logging into AIM.  Click, 'Printing Faculty Notification Letter in PDF' at the top of the main overview page. Select the class you want the copy of the letter, then click 'Generate PDF.'


Q: What if I have other questions about requesting accommodations via AIM?
