Closed Captioning - OARS Accommodation

In order for a student to receive the Closed Captioning Accommodation, they must:

  1. Be registered with the Office of Accessibility Resources and Services (OARS).
  2. Be registered for this accommodation based on their needs, and have it documented in their accommodation letter. 
  3. Communicate with the professor that they intend to use their accommodations in the course. 

Professors will first be alerted via receipt of the Faculty Notification Letter each semester by the student. If the student is registered for Closed Captioning, it will be stated in the student's letter as follows:

Accommodation Letter Text: "The student will need all videos for the course closed captioned. It is the student’s responsibility to alert the professor if a video does not have Closed Captioning. It is the professor's responsibility to determine if closed captioning is available on the videos shown in their course and to work with OARS if a video needs to be captioned.

Determine student eligibility for a closed captioning as an accommodation.

Consult with faculty (when necessary) to discuss this accommodation.

Refer faculty to resources to ensure the implementation of accommodation and/or send videos to a third party for CC service.  

Communicate with the professor the intention to use this accommodation by sending the Faculty Notification Letter in a timely manner. 

It is the student's responsibility to alert the professor if a video that does not have Closed Captioning. 

It is the professor's responsibility to determine if closed captioning is available on the videos shown in their course. 

To make course videos more accessible for students, upload course videos to YouTube and link them to the Moodle course site. YouTube will automatically provide students with closed captioning. They simply need to turn it on by clicking the "CC" button in the lower-left corner of the YouTube video player. For all other videos, please send the videos and/or links, as well as the date by which the video is needed, to the OARS office 2+ weeks before they are to be viewed. OARS will send the video to a third party who will provide this service.

Accommodation application in an online setting: This accommodation applies the same online as face-to-face. 

Qualification for Accommodation: Closed captioning is an appropriate accommodation for students who are deaf or hard-of-hearing, or those who may have a disability that requires audio description.
